Who decides, and why it is rarely the forecast alone
Sailing Whitsundays, a local booking agent, says operators make stand-down decisions and agents have no say. Reasons it lists include unsafe weather, too few passengers and mechanical problems.
Cruise Whitsundays says the vessel master decides the course "to ensure acceptable levels of safety and comfort". Its booking terms say its vessels may operate in wind and rain when it is safe to do so. Providence's listing says departures may be changed or cancelled at the master's discretion.
No operator page we checked publishes a wind speed at which it cancels, so treat numbers quoted online with caution. A trip can also run on a changed route: Cruise Whitsundays says strong northerly winds can send its south-end Whitehaven cruise to a different beach, and Camira may skip Hill Inlet when the tide is too low.
How to read the BoM Mackay coastal forecast
The Bureau of Meteorology's Mackay Coastal Waters Forecast: Bowen to St Lawrence covers the Whitsundays. Cruise Whitsundays links to it and suggests checking it 48 hours before departure. What the terms mean, according to the BoM:
- Winds are averages, given in knots. The direction is where the wind comes from, so "southeasterly" blows from the southeast.
- Gusts can be 40 per cent stronger than the forecast average, and stronger again in squalls and thunderstorms.
- Seas and swell are given in metres. The BoM says maximum waves can be twice the forecast height.
- Inshore means the coast out to 12 nautical miles; offshore is 12 to 60 nautical miles. Outer-reef trips travel further out than island trips.
- Warnings: a strong wind warning is issued for winds averaging 26 to 33 knots. Queensland coastal forecasts are updated around 3 am, 9 am, 3 pm and 9 pm local time.
For ride comfort rather than cancellation, Cruise Whitsundays gives its own guide for the three-hour trip to its outer-reef pontoon: 10 to 15 knots is "generally a smooth ride", 15 to 20 knots brings "some light movement" and above 20 knots is "a more active, bumpier journey". Even when you book through GetYourGuide, your contract is with the operator. Summaries are from each published policy at the time of writing.

If a local agent booked you, check their terms too. Sailing Whitsundays offers another date, another tour, a two-year travel credit or a refund that may carry admin fees.
Booking tips that help when the weather turns
- Put the boat trip you care most about early in your stay, so a cancelled date can move.
- Before paying, check the free-cancellation window on the listing. GetYourGuide's default is 24 hours, but Cruise Whitsundays' own terms use 48 hours for day cruises.
- Reconfirm. Ocean Rafting asks guests to reconfirm 48 hours ahead because times can move with weather and tide.
- Make changes through whoever took your money. GetYourGuide says changes and cancellations must go through its platform.
- Consider travel insurance. Cruise Whitsundays and ZigZag both recommend it.
Plan B: days that do not depend on open water

Whitsunday Crocodile Safari runs a river cruise on the Proserpine River, then a wagon ride across the Goorganga Plains wetlands. It is on a river, not the open sea. It was not listed in GetYourGuide's Airlie Beach wildlife category when we checked, so book through the operator or a local agent.

- What is the cancellation window on this listing: 24 hours, 48 hours, or midday the day before?
- If the operator cancels, do you get a refund, a credit or a new date? Are any fees kept?
- Does the trip run in rain and wind, and what counts as your cancellation if you decide not to go?
